At Transmogrified Professional Coaching, we are committed to providing high-quality professional coaching services. We understand that circumstances may change, and we have established this Refund Policy to address various situations fairly and transparently.
This Refund Policy applies to all services offered by Transmogrified Professional Coaching, including but not limited to interview coaching, public speaking training, oratory skills development, and corporate training programs.
2. General Refund Principles
Our refund policy is based on the following principles:
- Fairness: We strive to balance client needs with business sustainability
- Transparency: All refund terms are clearly communicated before purchase
- Timeliness: Refund requests are processed promptly according to stated timeframes
- Flexibility: We consider exceptional circumstances on a case-by-case basis
3. Refund Eligibility by Service Type
3.1 Single Session Services
Cancellation Timeline:
- More than 48 hours before session: Full refund (100%)
- 24-48 hours before session: 50% refund
- Less than 24 hours before session: No refund (0%)
- No-show without notice: No refund (0%)
To receive a refund for a single session:
- Contact us via email or phone within the applicable timeframe
- Provide your booking confirmation number
- State the reason for cancellation (optional but helpful)
3.2 Multi-Session Packages (3-5 Sessions)
Before First Session:
- Cancellation more than 7 days before first session: Full refund minus 10% administrative fee
- Cancellation 3-7 days before first session: 75% refund
- Cancellation less than 3 days before first session: 50% refund
After Package Commencement:
- Refunds calculated based on unused sessions at single-session rates
- Package discount is forfeited upon cancellation
- Completed sessions are charged at standard single-session rates
- Minimum 15% administrative fee applies to all partial refunds
3.3 Comprehensive Programs (6+ Sessions)
Before Program Commencement:
- Cancellation more than 14 days before start: Full refund minus 15% administrative fee
- Cancellation 7-14 days before start: 70% refund
- Cancellation less than 7 days before start: 50% refund
After Program Commencement:
- First 30 days: Refund of unused portion minus 20% administrative fee
- After 30 days: Refund of unused portion minus 30% administrative fee
- After 60 days: No refunds available
- All completed sessions charged at standard rates
3.4 Corporate Training Programs
Corporate training refunds are subject to customized agreements established in the service contract. General guidelines include:
- Cancellation more than 30 days before program: 85% refund
- Cancellation 15-30 days before program: 60% refund
- Cancellation less than 15 days before program: 35% refund
- Customized materials already prepared are non-refundable
4. Non-Refundable Items and Services
The following are non-refundable under all circumstances:
- Completed Sessions: Any coaching session that has been delivered
- Custom Materials: Personalized materials, assessments, or resources created specifically for you
- No-Show Sessions: Sessions where you failed to attend without prior notice
- Digital Downloads: Materials that have been downloaded or accessed
- Administrative Fees: Processing and administrative fees as specified
- Third-Party Costs: Expenses incurred from third-party services or venues
- Promotional Discounts: Special promotional pricing or discounts received
5. Refund Request Process
5.1 How to Request a Refund
To request a refund, follow these steps:
- Contact Us Promptly: Submit your refund request as soon as possible within the applicable timeframe
- Provide Required Information:
- Full name and contact information
- Booking or invoice number
- Service purchased and date(s)
- Reason for refund request
- Preferred refund method

- Await Confirmation: We will acknowledge receipt within 2 business days

5.3 Refund Methods
Refunds will be issued using the same payment method used for the original purchase:
- Credit/Debit Card: Refund to original card (3-10 business days)
- Bank Transfer: Direct deposit to provided account (5-10 business days)
- Other Methods: As agreed upon during the refund process
Note: We cannot issue refunds to different payment methods or third parties without proper authorization and verification.
6. Rescheduling vs. Refunds
We encourage clients to consider rescheduling before requesting refunds. Rescheduling offers several advantages:

- Retain full value of your investment
- Maintain coaching continuity and momentum
- Avoid administrative fees
- Flexible alternative dates and times
6.2 Rescheduling Policy
- Sessions may be rescheduled with 24 hours notice at no charge
- Multiple rescheduling requests may incur administrative fees
- Rescheduled sessions must be completed within 6 months of original booking
- Package sessions must be completed within the program timeframe plus 30 days
7. Service Cancellation by Coach
7.1 Our Cancellation
If we must cancel or reschedule a session due to:
- Coach illness or emergency
- Technical difficulties beyond our control
- Force majeure events (natural disasters, etc.)
You will receive:
- First Option: Priority rescheduling at your convenience
- Second Option: Full refund of the affected session with no penalties
- Compensation: Discount on future services in case of significant inconvenience
7.2 Service Quality Issues
If you are unsatisfied with the quality of service provided:
- Contact us within 48 hours of the session
- Describe specific concerns in detail
- We will investigate and respond within 3 business days
- Remedies may include complimentary sessions, partial refunds, or alternative arrangements
8. Special Circumstances
8.1 Medical Emergencies
In case of medical emergencies or serious illness:
- Notify us as soon as reasonably possible
- Provide medical documentation if requesting exception to standard policy
- We will work with you to find appropriate solutions (extended timeline, partial refund, etc.)
8.2 Extraordinary Circumstances
Exceptional situations such as:
- Death in immediate family
- Serious accident or hospitalization
- Natural disasters affecting your area
- Job loss or significant financial hardship
Will be considered on a case-by-case basis. We may offer:
- Extended program timelines
- Payment plan modifications
- Partial refunds outside standard policy
- Transfer of services to another individual
9. Satisfaction Guarantee
First Session Satisfaction Guarantee
We stand behind the quality of our coaching. If you are not satisfied with your first session for any reason:
- Notify us within 24 hours of session completion
- Explain your concerns
- Receive a full refund or complimentary replacement session with a different coach
Note: This guarantee applies only to first-time clients and single sessions, not packages or programs.
10. Disputes and Resolution
10.1 Dispute Process
If you disagree with a refund decision:
- Request a detailed explanation of the decision
- Provide additional information or documentation supporting your position
- Request escalation to senior management
- Allow 5-7 business days for review of escalated disputes
10.2 Final Resolution
If internal dispute resolution does not result in satisfactory outcome, you may:
- Seek mediation through agreed third-party mediator
- Pursue resolution through applicable consumer protection agencies
- Exercise legal rights under applicable law
11. Payment Plan Refunds
For services purchased through payment plans:
11.1 Before Completion of Payments
- Refunds calculated based on payments made minus delivered services
- Any promotional discount is forfeited
- Services consumed charged at standard single-session rates
- Administrative fees apply as outlined above
- Outstanding payment obligations are cancelled upon approved refund
11.2 After Completion of Payments
- Standard package refund policies apply
- Unused sessions refunded according to timeframes above
12. Currency and Exchange Rates
For international clients:
- Refunds issued in the same currency as original payment
- Exchange rate fluctuations between payment and refund dates are client's responsibility
- Currency conversion fees charged by banks are not reimbursed
- Refund amounts calculated in Japanese Yen and converted at time of processing
13. Tax Implications
Important: Refunds may have tax implications depending on your jurisdiction:
- Consult with tax professional regarding deductibility of coaching expenses
- We provide refund documentation for tax purposes upon request
- Business clients should consider tax treatment of refunds
- We are not responsible for tax consequences of refunds

- Not affect services already purchased under previous policy
